Hostel room allocation software
Set up each hostel as blocks, floors and rooms, the way it is actually built. Then see which beds are free and who is in each room.
What is hostel room allocation software?
Hostel room allocation software keeps a live record of every room in the hostel and who is in it. The Warden describes a hostel as blocks, floors, and rooms, gives each room a type that fixes its capacity and whether it is AC or non-AC, and tracks how many places in that room are taken.

The alternative is a room chart on a wall and a spreadsheet that disagrees with it. Here the allocation is part of the student's record, so the same assignment that fills a bed also decides which block that student's attendance belongs to.
How is a hostel set up in The Warden?
In four levels: a hostel holds blocks, a block holds floors, a floor holds rooms, and every room is given a room type. The room type carries the capacity and the AC or non-AC setting, so a layout repeated across several blocks is described once and reused everywhere.
More detail
Each hostel is recorded as a boys' or girls' hostel, and an institution can run as many hostels as it has. Staff can be scoped to the blocks they are responsible for, so an assistant warden's dashboard shows their own building rather than the whole campus.
How do staff see which beds are free?
Every room carries a live occupancy count, and its room type carries the capacity, so free places are the difference between the two. Floor by floor, staff can open a block and see each room, who is in it, and how much space is left, before a new student turns up at the gate.

Occupancy moves as students are placed rather than at the end of a cycle, so the number is current instead of reconstructed. The same data backs an occupancy report for the office, which is the question that usually arrives by phone on the first day of an intake.
How is a student assigned to a room?
A staff member with the room assignment permission picks the room and assigns the student to it, and the room's occupancy rises as they do. Moving a student later is the same action aimed at a different room, so there is no separate transfer screen to learn.
More detail
Clearing a room is a second, more restricted permission: it releases everyone in that room in one step and takes its occupancy back down, which is what the end of a year or a block being taken out of use actually needs.
Can a new intake be imported from Excel?
Yes. Download the template or upload your own sheet and map your column names onto The Warden's fields. Every row is shown for review before anything is saved, rows that fail validation can be corrected in place and retried, and an entire upload can be reverted if it was the wrong file.

One pass creates the student, their login, their parent link, their hostel application record, and their room assignment. Values that do not match your existing master data — a degree, a branch, a batch, a hostel name — are collected before processing starts, so the same missing entry does not fail a hundred rows one at a time.
What does the hostel office get out of it?
An occupancy picture that is current rather than rebuilt from memory. Because the record holding a student's room also holds their attendance and their leave, the office can answer how many beds are free in a block, and who is in room 214, without opening a second file.
More detail
Room data is also what makes block-level attendance possible at all: a student's block is derived from their room, so an allocation that is right keeps the nightly count right too.
How does it work, step by step?
- 01Add the hostel
- 02Add blocks and floors
- 03Define room types
- 04Add the rooms
- 05Bring the students in
- 06Assign rooms
What does it work with?
Room allocation shares the same student record as everything else in the hostel.
Who is it for?
- Wardens allocating rooms at the start of an intake
- Hostel offices asked how many beds are free, in writing
- Institutions running several hostels with different room types
- Anyone maintaining a room chart and a spreadsheet that have stopped agreeing
In a walkthrough, we’ll show you
- Your hostels, blocks, floors, and rooms, set up
- Room types and capacity
- One new student, from import to room
Common questions
01Can it handle more than one hostel?
Yes. Add every hostel you run, each with its own blocks, floors, and rooms, and each marked as a boys' or girls' hostel.
02Can we import students from Excel?
Yes. Fill in our template or upload your own sheet and match the columns. Every row is shown for review before anything is saved, and a whole upload can be reverted.
03Can we move a student to a different room?
Yes. Assign them to the new room; occupancy adjusts on both sides. It is the same action as the first assignment, aimed somewhere else.
04What happens to a room at the end of the year?
A room can be cleared, which releases everyone in it and takes its occupancy back to zero. That is a separate permission from ordinary room assignment.
05Can we have AC and non-AC rooms with different capacities?
Yes. Capacity and AC or non-AC belong to the room type, so a four-bed non-AC room and a two-bed AC room are just different types on the same floor.
06Can staff be limited to their own block?
Yes. Staff are scoped to the blocks they are responsible for, and what they can do inside them is set by permission rather than by job title.
